Overview

If another user needs access to a users calendar, permissions will need to be adjusted.

Steps

Step 1.0 - Provide Permissions to Other Users to Your Calendar

Billy Bob wants Joe Boy to be able to edit his calendar. The default permissions do not allow this. In Outlook, go to your Calendars. Right click on the calendar you want to edit the permissions on. In this case, it is called Calendar.

Select Share > Calendar Permissions.

You can only edit calendar permissions for your calendars, or calendars of accounts you have Full Access to.

This will bring up the Calendar Properties window. Here you can see what permissions are already applied, and you can add/remove permissions as required.

Lets give Joe Boy permissions to this calendar. Click Add…

Find the user we want to provide permissions for. In this case, I am going to give permissions to Joe Boy. Double click on the user name and it will appear in the box beside Add. You can select multiple users.

Click OK.

Now you can adjust the permissions granularly with the permissions, or you can select a Permission Level which will set the permissions based on the role selected.

I would like Joe to be able to add and remove all appointments, as well as be able to see all my details. The Editor role fills that requirement.

Now Joe is set as an editor. You can see he can read Full Details of my calendar, Create Items and Edit All. He can also delete All. You can adjust the permission here further if required.

Once done, click OK.

Step 2.0 - Add Another User’s Calendar to your Outlook

Joe now has lots of permissions to Billy’s calendar, but he can’t see it in Outlook. Right click on My Calendars and select Add Calendar > from Address Book…

Joe will double click on Billy Bob, and any other users he wants to view the calendar of.

Once they are selected, click OK.

Now Billy Bob’s calendar is visible…

And since Joe has Editor permissions, he can create, delete, view etc. on Billy’s calendar!
