Steps
Step 1.0 - M365 - First Time Log In, Accessing Web Applications and Webmail
Before the set cut-over date, you are able to send emails out from your M365 account, but responses will be delivered to your old address. We recommended only using your current email account until cut-over, and exclusively using your new M365 account afterwards.

1.1 | Install the Microsoft Authenticator app on your phone using the Apple App Store, or Google Play. The process for installing this app differs by phone. If you have any issues, feel free to reach out to our support team. | |
1.2 | Go to http://office.com and click Sign In. This will allow you to access all of your apps. Word, Outlook, oneDrive etc. are all available to access here. If you just want to sign in to your webmail, you can access this at www.outlook.com (see below image).

1.3 | Enter your email address, then click Next | |
1.4 | Enter the password you were provided for M365. This will be different than other NIRIX managed services for now, but will sync with your remote desktop during Phase 2 of the migration. |

1.5 | Now we have to set up your Multifactor Authentication. You can click Ask later, and it will let you bypass it for now, but you will be required to configure it within 14 days. Click Next to set it up. | |
1.6 | On your phone, open Microsoft Authenticator. At the top of the app, click the plus sign. | |
1.7 | In the Microsoft Authenticator app, select Work or school account. | |
1.8 | Select Scan a QR code. Now you are ready for the next step on your computer. You may receive pop ups asking if you want to grant permission for the Authenticator App to use the camera. Please allow it. | |
1.9 | Use your phone’s camera to capture the QR code. You don’t have to take a picture, just point the camera at the QR code. The phone should register the QR code automatically once it sees it. A number should pop up on your screen, and you will be asked to enter it in the authenticator app. | |
1.10 | Enter the number you see on the screen in to the Authenticator App on your phone. In this example, it is 41, but it will be different for you. Tap Yes once it is entered. The request will be approved and sent to Microsoft. You are done with your phone. |

1.11 | Your computer should show the authentication was approved. Click Next. | |
1.12 | Success! Click Done to carry on. | |
1.13 | You will be asked if you want to stay signed in. If you select Don’t show this again, and select Yes, you won’t be asked to log in as often. Sometimes this will cause issues if you use multiple M365 account or guest accounts on your machine. The choice is up to you. |

1.14 | Now you are signed in to Office! Click on the shortcuts on the left to access the app you are looking to use, including the web Outlook. Other applications available are accessed by clicking the waffle button on the top left.

Step 2.0 - Switch Outlook to your M365 Account
Outlook currently automatically connects to the old oneExchange service hosted by NIRIX. After the cut-over date, you need to switch to the M365 account. If you continue to use your NIRIX Hosted email account, messages will not by synced between the two services, new emails will not appear in it, and messages to internal users will not be delivered to the new mailbox.

2.1 | After the cut-over date, we need to remove your old email profile from the server, and configure the new one. There will be a shortcut called ProfileEdit on your desktop that we will use. Double click on it to begin. | |
2.2 | This will open the Outlook Profile Manager. We will be creating a new profile that uses M365. Once this is done, you will be able to access your new M365 account in Outlook, but you will need to use the webmail at webmail.poweredbynirix.com for NIRIX oneExchange. We recommend doing this at the end of the day before the cut-over, or first thing when you return to the Office after the migration. Click Options. | |
2.3 | Click New… | |
2.4 | Enter a profile name you will recognize as being for your M365 account. I just used M365. Click OK. | |
2.5 | Enter your email address under Email address. It may be populated with your current address, or it could display a user@legacy.domain.com. If you see your legacy address, correct it to the proper one and click Connect. |

2.6 | You should be prompted for your password in a Microsoft branded pop-up. Enter the M365 password you were provided. It will be the same password you used earlier in Step 1.4. Click Sign in. | |
2.7 | I recommend clicking No, sign in to this app only for now. In the new platform, we will want to allow this. If you do choose to click OK instead, it should set up oneDrive for you, and sign you in to Office applications so you can use the cloud services, but you may lose all of your recent document history and settings. | |
2.8 | De-select Set up Outlook Mobile on my phone too. All this does is it opens a website to walk you through setting up Outlook on your phone. Click Done. |

2.9 | For you new profile, make sure to Set as default profile and leave Prompt for a profile to be used, unless you have an second profile specifically set up for a DIFFERENT email address. | |
2.10 | To avoid any confusion, we can also remove the old profile. It won’t work properly after adding the M365 account anyhow. If you need to access emails on the old system, you will have to use the webmail at webmail.poweredbynirix.com. Click the Profile Name drop down box, and select the old profile (they will mostly be called Outlook, but may be named something else).

2.11 | Once you have the old profile selected, click Delete. | |
2.12 | You will be warned that the cached data will be removed. All of the data will remain on the Exchange server, so there will be no data lost. You can click Yes. | |
2.13 | Once you only have the M365 account left (unless you specifically have another profile set up), click OK. | |
2.14 | You will load up your new M365 account. Old emails will be migrated ASAP, but the speed is limited to upload to Microsoft servers. You will see your accounts being populated over time. If you need a historic email while the data is still being migrated, you can access that at https://webmail.poweredbynirix.com
